Role summary

This role will be primarily responsible for the effective administration of day-to-day HR-related activities and admin support for our Operations functions.  This includes maintaining our HR Information System (Cascade), supporting recruitment and onboarding activities, recording time and attendance, liaising with external agencies, undertaking DBS checks, organizing internal and external training programs, managing company vehicle registrations, taking minutes at key business forums and providing general administrative duties for the company.

In this role you will be required to liaise across the business with key stakeholders, employees and external customers, so you will need to be seen as proactive, credible and accountable.

Key Responsibilities

The following provides an indication of the key responsibilities involved in this role but is not intended to be an exhaustive list of all the duties that you may be required to do

  • Acting as the first point of contact for general queries, providing guidance and support on employee relations, health & safety and employee benefits programs, escalating to the appropriate manager when required
  • Providing effective admin support for the entire recruitment lifecycle, including:
    • Arranging adverts and liaising with agencies
    • Organising interviews
    • Screening candidates
    • Assessing candidates’ right to work
    • Preparing offer letters and contracts
    • Arranging onboarding programs
    • Liaising with new starters about uniforms, DBS checks, company cars and access to relevant training/access platforms as required
    • Providing general admin support for the Operations function
  • Ensuring all records and documentation are accurately recorded and the HR Information System (Cascade) is updated accurately and regularly for compliance with internal procedures and GDPR
  • Managing and monitoring time and attendance records including annual holidays, sickness and absence
  • Facilitating training and development initiatives across both HR and Operations: ensuring all employees attend regular mandatory training sessions, training records are updated, training programs are organised and training evaluation forms are completed immediately following attendance and three months later
  • Taking minutes at company meetings, such as the Employee Forum, Health & Safety Meetings and any other meetings as required
  • Assisting the HR Director and HRBP with administering the payroll, promoting company benefits, initiatives and engagement programs
  • Maintaining the IT asset register
  • Providing admin support for the company mobile phone account
  • Supporting GDPR administrative activity
  • Organising company social events
  • Maintaining company refreshment supplies
  • Supporting with ad-hoc projects as required
  • Working as part of a small admin team to ensure a smooth and seamless services is provided to the business at all times, including diary management and travel arrangements for the Operations and HR Directors
  • Taking responsibility for your own development with the opportunity to discuss your career aspirations and growth opportunities at our regular performance appraisal meetings

Skills and Experience Required:

  • High levels of resilience with experience of working in a fast-paced environment and the ability to prioritise your workload
  • An ability to build relationships and communicate with people at all levels
  • Excellent attention to detail
  • Excellent written and verbal communication skills
  • Good organisational, literacy and numeracy skills
  • Proficient in Microsoft Office, especially Word, Excel and PowerPoint
  • Previous experience of working in an HR shared service, admin function or customer services environment is desirable
  • Previous experience of using an HRIS database such as Cascade or equivalent system would also be an advantage

The salary for this role is up to £22,500 per annum.
